Group Appointments Overview

For a client's group appointments to appear. Three things must be simultaneously true:

  • The first IOP date must be set in Salesforce. Once set, this date must be synced to MyDot. This sync occurs every 5 minutes, so you may have upwards of a 5 minute wait.

  • The cohort and group must be selected. You can select cohort and group without having set the first IOP date in Salesforce but appointments will not appear until IOP date has been set and synced.

  • The Last IOP date field in the Record Discharge settings modal must be be set to the future.

Viewing Group Appointments

Group appointments can be viewed on the Schedule tab of the Client's Chart page. When you click on a group appointment on the calendar, there is the ability to modify group appointments. Please do not modify a client's appointment unless you have been trained to do so. Individual and Family appointments can be also viewed here but no modifications to I&F appointments can be done here for the time being.

First IOP Date

This is set in Salesforce. This is date is often set by the Clinical Intake Therapist during BPS but may be set afterwards if a client is not cleared to start at the time of BPS. This date does not always fall on the same cadence as a client's assigned group as we encourage clients to do their First IOP as soon as they are available. On the calendar, this will be denoted as an all day event labeled orientation. Eventually, we hope to improve the granularity of the orientation event on the calendar.

Selecting Cohort and Group Days

Cohort and group selection is done in the modal that is triggered by pressing the Manage Schedule modal. The find cohort button will trigger a Qualtrics survey with some basic client attributes filled in. Once a cohort is selected, there are filters that help narrow down which group best matches a clients availability.

Holidays aka Non-Care Days

We have a pre-determined set of days that we determined to be non-care days. When we are creating appointments, we automatically skip creation on those days.
